Free guide · The business brain
Stop chatting with AI. Give it a brain.
Most owners use AI as a chat window: paste something in, copy something out, start from zero tomorrow. A business brain is different. It's one folder on your computer where everything about your business lives, with Claude working inside it. It knows your business, remembers what you told it, and looks things up in your email, calendar and books when you ask. Here's what's inside, and how to get yours.
What it is
Four parts. One brain.
The folder
One place on your computer for everything about your business: notes, documents, numbers, and everything Claude makes for you.
The main file
A page that explains your business to Claude: what you sell, who your customers are, how you talk, your rules. Like the binder you'd hand a new hire. It's called CLAUDE.md.
Memory
What it remembers from one day to the next, so you never have to explain your business twice.
Your tools, connected
Email, calendar, files, accounting. Each connection is a plug (you'll hear it called an MCP), so Claude can look things up when you ask.
It all runs in Claude Code. Despite the name, you never write code. You ask in plain English, by typing or talking.
Once it's set up, you just ask
EmailGmail · Outlook
"Who's waiting on a reply from me?"
CalendarGoogle · Outlook
"Prepare me for my 3pm meeting."
FilesGoogle Drive · OneDrive · Dropbox
"Find the lease and tell me when it renews."
AccountingQuickBooks and others
"Which clients are more than 30 days late?"
Customers or storeYour CRM · Shopify
"Which leads haven't heard from us in two weeks?"
Your homework
15 questions for your main file.
This is what goes into the page that explains your business. Answer them in a document or a voice memo, however is easiest. Short answers are fine. Do it once and you're ready for the steps below.
Your business
- 1What does your business do?Two sentences, the way you'd explain it to a neighbor.
- 2What do you sell, and roughly what does it cost?Your main services or products, with prices or ranges.
- 3Why do customers pick you over the competitor down the street? What do they say when they recommend you?
Your customers
- 4Who's your best customer?Think of a real one: what they do, what they worry about, why they came to you.
- 5What do customers ask you every single week?Write each question and the answer you always give.
- 6What happens when a new customer reaches out?Walk through it, from the first message to getting paid.
How you sound
- 7How do you talk to customers?Formal or relaxed? Short or warm? English, Spanish or both?
- 8Find two or three messages that sound exactly like you.Real emails or texts you've sent. They teach it your voice faster than any description.
- 9Which words do you always use, and which do you never want to see?For example: you say "clients," never "customers." No exclamation points.
How things work
- 10Who's on your team, and who handles what?First names and roles are enough.
- 11Which tools do you use every day?Email, calendar, accounting, a CRM, WhatsApp, your industry software. These are the ones you'll connect.
- 12Which seasons, deadlines or dates matter every year?Busy months, slow months, the dates you can't miss.
Your rules and goals
- 13What should AI never say or do on your behalf? For example: promise a discount, give legal or tax advice, send anything without your OK.
- 14What are you trying to get done this year?More clients, fewer hours, a new service, hiring. Whatever is true.
- 15Which task do you hate most? The one you keep putting off. It's usually the first thing your brain should take over.
Leave these out: Social Security numbers, bank and card details, passwords, and private details about specific clients. Your main file explains how your business works, not anyone's personal information.
How to get yours
Six steps. Here's the whole path.
The first three you can start this week on your own. The last three are where most owners get stuck, and where we come in.
- 1On your own
Get Claude and the desktop app
A paid Claude plan (Pro is enough to start) and the Claude desktop app on your computer. Claude Code lives inside it.
- 2On your own
Create your business folder
Make one folder for your business and open it in Claude Code. This folder becomes your brain.
- 3On your own
Write your main file
Have your homework answers ready, then paste this into Claude Code. It interviews you and writes the file for you.
Interview me about my business, one question at a time, and wait for each answer. I have my answers to these questions ready: what I sell and what it costs, who my customers are, what they ask most, how I talk to them, my team, my tools, my yearly dates, what you should never do on my behalf, and my goals. When we're done, write everything into a CLAUDE.md file in this folder, in plain English.
- 4Together
Connect your tools
Each tool connects differently, with its own sign-in, permissions and settings. Some, like QuickBooks, need a developer account and a few technical steps. This is where most people stop.
- 5Together
Set up memory and the rules
What it should remember, what it can touch, and what it should never send or change without asking you. Getting this right is what makes it safe to use every day.
- 6Together
Put it to work
Your first two tools running the same day, like a weekly report of your numbers, plus a plain-English walk-through of what runs on your computer and what should run online by itself.
